Who owns your client list

The single most valuable thing your shop has. Here is how to keep control of it.

Your client list is not a feature of your software. It is the business. Names, phone numbers, what they had done and when, who they like to sit with — that is a decade of trust written down, and it is the reason a shop can survive a bad month. Which is exactly why you should know, precisely, how to get it out.

Three questions to ask any system

  • Can I export everything myself, today, without asking anyone? If the export needs a support ticket or a phone call, that is a retention tactic, not a technical limit.
  • Does the export include appointment history? Many exports give you names and phones only. Without history you lose the ability to know who is overdue and who has stopped coming.
  • Who can message my clients? On marketplace platforms your clients may receive promotions for other shops. Read what you agreed to.

Export it now, not when you are angry

Do it this week, whatever system you are on. Download the CSV, put it somewhere safe, and repeat it every few months. It costs you ten minutes and it removes the fear that keeps a lot of owners paying for something they have outgrown. A backup is not disloyalty — it is the same reason you keep a spare key.

What a clean export looks like

At minimum: first and last name, phone, email, and marketing consent. Better: date of every past visit, the service, the price, and which technician. If you can get all of that, you can move to any system and your reminder messages, rebooking prompts and win-back offers keep working from day one instead of starting from nothing.

Before you leave anywhere

  • Export clients and history, and open the file to check it is not empty.
  • Screenshot your service menu and prices.
  • Note your recurring clients and standing appointments.
  • Point your Google Business Profile and Instagram link at the new booking page before you cancel the old one.
