User Agreement & Terms of Use

These Terms are an agreement between you (the salon, barbershop, spa or other business that opens a Book AZ account — “you”, “the Shop”) and Book AZ (“we”, “us”). By creating an account, subscribing, or using Book AZ, you agree to them. If you do not agree, please do not use the service.
1. What Book AZ is
Book AZ is software that helps a Shop run its business: online booking, calendar, client records, checkout, loyalty, reminders, marketing tools and related features. Book AZ is not a marketplace. We do not sell your clients’ attention to other shops, we do not charge you a commission on bookings, and we never charge a fee for a “new client”.
2. Your account
- You must be at least 18 and have the authority to bind the Shop to these Terms.
- Keep your login private. You are responsible for everything done under your account, including by your staff. Give each technician their own login rather than sharing yours.
- Give us accurate business details (name, address, contact). We use them on your booking page, receipts and messages to your clients.
- One account per Shop. Multi-location businesses can add locations on plans that allow it.
3. Free trial, plans and pricing
- New accounts get a free trial of one month with every Pro feature. No card is needed to start the trial.
- Plans are priced per day and billed monthly: Basic (up to 3 technicians), Pro (unlimited technicians) and Website+ (Pro plus a website we build and host for you, with a one-time setup fee). Current prices are shown on bookaz.ca and on your Plan & billing page.
- Add-ons (for example the AI receptionist) are priced separately and can be turned on or off at any time.
- Text messages (SMS) that you choose to send — reminders, waitlist alerts, marketing — are billed at the per-message rate shown on your Plan & billing page, only for messages actually sent. They are added to your next monthly invoice.
- Prices are in Canadian dollars. Applicable taxes (GST/HST/PST) are added at checkout.
- We may change prices with at least 30 days’ notice by email. A price change takes effect at your next renewal after the notice period.
4. Subscription, billing and cancellation
- When you click Subscribe, you are taken to our payment provider, Stripe, to enter your card. We never see or store your full card number.
- Your subscription starts on the day you subscribe (or the day after your trial ends, if you subscribe during the trial) and renews automatically every month on that same date until you cancel.
- You authorize us to charge the card on file each month for your plan, active add-ons, and any SMS usage from the previous month.
- You can cancel at any time from Plan & billing → Manage card & invoices. Cancellation takes effect at the end of the current billing period; you keep access until then. We do not refund partial months.
- If a payment fails, we will retry and email you. If it still fails after 7 days, online booking and messaging may be paused until the card is updated. Your data is kept.
- One-time setup fees (Website+, AI phone) are non-refundable once the work has started.
- There is no contract term and no cancellation fee.
5. We do not keep your card or sensitive documents
- We never store credit or debit card numbers. All card entry, storage and charging is done by Stripe (stripe.com), a PCI-DSS Level 1 certified payment processor. Book AZ only receives a token, the card brand and the last 4 digits so you can recognise the card on your billing page.
- The same is true for your clients’ cards: deposits, prepayments, cards on file for no-show fees and in-store terminal payments all go through your own Stripe account. Card details never pass through or sit on Book AZ servers.
- We do not ask for, and you should not upload, government ID, banking documents, SIN/tax numbers, or other sensitive documents to Book AZ. Bank details for receiving your client payments are given directly to Stripe during Stripe onboarding, not to us.
- Photos you upload (logo, team, service pictures) are used only for your booking page and website.
- If you ever receive an email or call asking for card or bank details “for Book AZ”, do not give them — we will never ask. Report it to us.
6. Your data is yours
- Your client list, appointments, sales and all other business data belong to the Shop. We do not sell it, share it with other shops, or use it to market to your clients on anyone else’s behalf.
- You can export your clients at any time from the Clients page.
- If you close your account, we keep your data for 90 days so you can come back or export it, then delete it (except records we must keep by law, such as invoices).
- We back up the system nightly and store data in Canada.
7. Your clients and messaging
- You are responsible for having your clients’ permission to text or email them, as required by Canadian anti-spam law (CASL). Book AZ records the consent your clients give on the booking page, but marketing to people who have not consented is your responsibility.
- Every marketing text and email must give the client a way to opt out. Book AZ handles this for messages sent through the system; do not remove it.
- You are responsible for the content of the messages you send and for the services you provide. Book AZ is a tool; it is not a party to the appointment between you and your client.
8. Payments you take from clients
If you enable online payments, deposits or no-show fees, those are processed through your own Stripe account, connected to Book AZ. Stripe’s fees and terms apply to those transactions. Book AZ does not take a percentage of your client payments.
9. Acceptable use
Do not use Book AZ to break the law, to send spam, to harass anyone, to upload content you do not have the right to use, or to try to access other shops’ data. We may suspend an account that does. We will tell you why and give you a chance to fix it unless the law prevents us or the risk to others is serious.
10. Availability and support
- We aim to keep Book AZ available 24/7 but cannot promise it will never go down. We do maintenance at quiet hours where possible and announce planned downtime in advance.
- Support is included with every plan by email and in-app chat during Pacific business hours. Website+ includes priority support.
- We may add, change or retire features. If we retire a feature you rely on, we will give notice and, where reasonable, an alternative.
11. Limits of our responsibility
Book AZ is provided “as is”. To the extent the law allows, we are not liable for lost profits, lost bookings, no-shows, or indirect damages arising from the use of, or inability to use, the service. Our total liability to you for any claim is limited to the amount you paid us in the 3 months before the claim. Nothing in these Terms limits liability that cannot be limited under the laws of British Columbia.
12. Changes to these Terms
We may update these Terms. If a change is material we will email the account owner at least 30 days before it takes effect. Continuing to use Book AZ after that date means you accept the new Terms.
13. Law and contact
These Terms are governed by the laws of British Columbia and Canada. Disputes are handled in the courts of British Columbia. Questions: use the contact details on bookaz.ca or the chat in your Book AZ account.
